This is what Pro Am Lab collects when you use our website or the Pro Am Lab app, why we collect it, who else handles it, how long we keep it, and how to see, fix or delete it. The website and the app use the same server, so this page covers both. The Pro Am Lab app is published by AlliedOS Pty Ltd for Pro Am Lab.

What we collect, and why

  • Your name, email and mobile. When you book film, buy from the shop, order prints or ask for a framing quote. We use them to match your film to you, tell you how it’s going, and send your receipt. The mobile is optional.
  • Your postal address. Only when you ask us to post something back. It goes on the parcel label.
  • Your film and your job. The format, film stock and process, any notes you leave us, where your film is up to, and what you paid.
  • Your scans. The files we make from your film, so you can download them.
  • Photos you send us to print. The photos you upload from your phone or computer, so we can print them.
  • What you tell us. Emails you send us, notes on a booking, and what you’d like framed, so we can answer and do the work.
  • Signing in. There is no password. If you sign in to your account, we email you a link that works once, for 30 minutes, and your browser keeps a cookie that says you’re signed in.
  • On your phone. The app keeps the links to your jobs and your basket on the phone, so they’re there the next time you open it.
  • Notifications. The app asks your phone’s permission to show notifications. The app raises them itself, on your phone, when it sees your job change. We don’t send your phone’s details to Apple, Google or anyone else for this. You can turn them off in your phone’s settings.

Who else handles it

We use a few other businesses to do the work. Each one gets only what its part needs.

  • Square takes card payments. The card form on our checkout is Square’s own, so your card details go straight to Square. We never see or store your card number. We keep Square’s payment reference and receipt number. We also add your name, email and mobile to the shop’s Square customer list, so the counter knows you when you come in.
  • Postmark sends our emails and passes your replies back to us. It sees your email address and what the email says.
  • Australia Post carries anything we post you. Your name and address go on the label, and we ask Australia Post where the parcel is by its tracking number.
  • Binary Lane runs our server, in Sydney. Your details, scans and photos are stored there, and so are our backups.
  • Agentaus (agentaus.com.au), an Australian AI service, runs Zorks, the assistant our staff use at the lab. It is only a way of looking things up: when staff ask it about the work, it finds the answer in our own records and in Square, as text — names, emails, mobiles, film details and messages. It never trains on your data and doesn’t learn from it, and none of your data is stored in it. It never sees your photos or scans, and it never writes to you.

Every file you upload is checked for viruses on our own server before it’s kept. It isn’t sent anywhere else to be checked.

Square and Postmark may handle your details outside Australia, including in the United States. Everything else stays in Australia.

How long we keep it

  • Scans are ready to download for 14 days, then we take them off the server. The lab keeps its own copy of every scan, so if you need them again, email us and we’ll put them back.
  • Photos for prints in a basket that isn’t paid for are deleted after 2 days. Once you’ve paid, we keep them so we can print them again if something goes wrong. Ask us and we’ll delete them.
  • Prints and negatives are kept for 2 months, then recycled.
  • Your details and your jobs stay while you use us, so your jobs, receipts and account keep working. Records of what you paid are kept for as long as tax law requires.
  • Backups. We back up the server every night and keep the last 14. Binary Lane also keeps snapshots of the server.

What we don’t do

  • No ads.
  • We don’t sell, rent or trade your details.
  • No analytics and no tracking. Nothing on the website or in the app follows you around or reports what you do to anyone. The only cookie is the one that keeps you signed in, and your browser remembers your basket on its own.
  • The emails we send are about your film, your order or signing in. Reply STOP to any of them and we stop emailing you about your jobs.

See, fix or delete what we hold

Email us at lab@proamdigital.com.au and ask for a copy of what we hold about you, for something to be corrected, or for it to be deleted. You can delete your account in the app or by emailing us. We’ll delete your details, scans and photos; records of what you paid are kept for as long as tax law requires. You can also see your jobs any time in your account or the app.

If you’re not happy with how we’ve handled your details, tell us first. You can also complain to the Office of the Australian Information Commissioner at oaic.gov.au.
